Europe Partner Markets (EPM) consists of 3 Business Units. Two units (CEE & SEE) are solely operated as distributor route to market (RTM), 3rd Unit includes both Diageo IMC and distributor RTM for beer category only.
CEE Business Unit consists of 11 countries (Bulgaria Serbia & Montenegro, Bosnia, Macedonia, Kosovo, Czech Republic, Slovakia, Hungary, Albania, Iceland). The team supporting CEE currently operate out of four regional offices: Bulgaria, Czech Republic, Greece and Hungary.
The Administrative Manager supports the commercial team across EPM, but plays a specific role in supporting the regional EPM offices of Bulgaria, Croatia, Czech Republic, Romania, Ukraine and Kazakhstan where in market support is not available.
The role is designed to work closely with the Business Unit Directors to provide administrative and sales support, ensuring an effective and efficient commercial operation to allow maximum focus for the commercial team to work with their distributor partners.
As Office Manager you will be responsible for:
Management of all office-related projects across EPM regional offices
Lead on implementation of EPM regional facilities contracts, working with Procurement to identify suitable vendors and ensure effective cooperation with all Suppliers (incl. Travel agency, Car Leasing, Medical Insurance companies)
Support on implementation of EPM employee benefit contracts, working with Procurement and Reward to ensure processes are established and adhered to.
Management of all office related projects
Ensure effective communication between team and Diageo key services & groups – servicedesk, Finance, IT, Compliance, external key stakeholders (Deloitte, Obriy)
Ensure clear and transparent admin processes in the EPM regional offices
Lead on Health & Safety administration and help to ensure safe and appropriate working conditions in the regional EPM offices
Co-ordination of contractual and legal issues
- Where required, support the Commercial team to co-ordinate correspondence and follow-ups regarding contractual or legal matters relating to distributor or other contractual matters
Provide support to EPM LT to co-ordinate information collation:
Support LT to co-ordinate flow and collation of essential information – e.g. requests to County Managers for performance or sales data
Provide clear structures for collating regular performance information requests
Co-ordination of meetings and conferences
Provide organization support for key business visits (e.g. QBR, Senior Management visits) to EPM regional offices (including co-ordination of hotel bookings, restaurants etc)
Organization of team events – support the co-ordination of EPM and Leadership Team meetings
What we’re looking for:
At least 3 years relative experience in a similar office management role
Excellent oral and written communication skills (English language essential)
Detail oriented and high degree of accuracy
Highly organized and flexible
Able to multitask and meet changing deadlines
Able to maintain staff confidentiality
Able to find and propose solutions
Result-oriented and proactive
Strong leadership skills
PC Advanced user (good knowledge of MS Office)
Fluency in English and Russian Language
